Huqo Forms
Build a useful enquiry form, control when it opens and review every response from your workspace.

Create your first form
Forms brings the questionnaire, live public address and response review into one file. Use it for project enquiries, customer feedback, registrations or a structured request. You can work on a draft without putting it online, then publish when the questions and collection settings are ready.
Open Forms from the Suite workspace or Apps chooser. Create a form, give it a meaningful name in the file heading and use the description to explain what the person should submit. Edits save through the same save status used by the other Suite apps.
- Open Build and add the questions you need.
- Write a short introduction and mark genuinely essential questions Required.
- Open Preview and try the form, including different conditional answers.
- Review Settings, then select Publish form and confirm.
- Wait until the publication changes have saved, then copy the live address from Settings.
Build and organise questions
The question palette provides Short answer, Long answer, Email address, Dropdown, Single choice, Multiple choice, Number and Date. Choose Single choice when only one answer is allowed, Multiple choice when several answers are useful, and Dropdown for a longer compact list. Email, number and date questions validate their corresponding answer format.
Select a question to edit its label, helper text, answer type and options. Write labels as complete, direct questions and use helper text for context rather than putting several instructions in the label. You can move questions up or down, duplicate an existing question or remove it. Undo and Redo let you reverse recent form changes while editing.
Templates add prepared questions to the end of the current form. They preserve your existing questions and collected responses. After adding a template, check the new wording and remove questions that do not belong in your workflow. A form supports up to 100 questions; labels support 500 characters and helper descriptions support 1,000.
Show questions only when relevant
Conditional questions keep a form shorter for each person. Enable Show this question conditionally, choose an earlier question as the source, then set the matching rule. The supported rules are equals, does not equal, contains and has been answered.
For example, ask which service someone needs, then show a website-address question only when their answer is Website redesign. Rules follow the order of questions: the source must come before the dependent question. If a source is removed or moved after its dependent question, invalid rules are cleared. Review Preview after rearranging a conditional form.
Hidden questions are excluded from the active response path, including their required validation. When testing, try both a matching answer and a non-matching answer so that a person is never blocked by an unrelated required question.
Publish, pause and schedule collection
A published form is available to anyone who has its public address. It does not require a Huqo login. Publishing the questionnaire is separate from creating a private Drive share: use the form's own Settings link to collect submissions.
Settings includes Accept new responses, opening and closing times, a response limit, a colour theme and the confirmation message shown after a successful submission. Dates are entered in your device's local time. Leave them blank for an open-ended form. The response limit of 0 means no lower custom cap; the maximum is still 5,000 responses per form.
Pause collection with Accept new responses, or choose Unpublish form to withdraw the public form. Both actions preserve existing responses. Wait for the save acknowledgement before relying on a change. Scheduled, closed, full and paused forms do not accept new responses.
- Paper, Ocean, Forest and Plum provide coordinated form colour themes.
- The public address is displayed only after publishing changes have finished saving.
- Publishing a backup imported as a new form requires a fresh publication step.
Review and export responses
Open Responses to load submissions for the selected form. Search across answers and submission timestamps, change the order between newest and oldest, and move between pages of 50 responses. Clear the search when you want to see the full response list again.
Choice questions show answer breakdowns, and number questions provide numeric summaries when there are suitable answers. These summaries follow the current filtered response set. Export CSV downloads the responses for use in a spreadsheet; keep that export private if it contains customer contact details.
Changing a question later does not rewrite answers already received. Preserve the meaning of a question once a campaign has started. For a substantially different questionnaire, create a separate form so that old and new submissions are easier to interpret.
Privacy and form limits
Ask only for information you need and explain its purpose in your introduction. Anyone with a published form address can read the questionnaire, so its description should never contain private instructions or internal account details. Form sharing does not expose the owner's response-management screen.
Responses use workspace storage along with your Suite files, version history and signing records. A full workspace can stop further collection. Export useful records and free space before running a large campaign. The editor also enforces document-size and question limits to keep forms usable.
When something does not look right
No public link yet: check that the form has at least one question, confirm publication and wait for Saved. If the status remains Preparing link, keep the tab open and retry saving rather than copying an incomplete address.
A visitor cannot open or submit: check Accept new responses, opening and closing dates, the response limit, Trash and available storage. Make sure you copied the public form address rather than the private editor address.
No response appears after Preview: preview entries are deliberately not stored. Open the published address to test a real submission only when you intend to create a real response. If response loading fails, keep your draft open and retry the request.
Review spelling, grammar and tone
Use Writing tools for on-demand spelling, grammar, clarity and tone suggestions. Review the named source and displayed AI token cost before checking. Suggestions only change your writing when you apply them. The Writing assistant guide explains supported fields, language choices, privacy and undo.
