Understand your PDF project
Huqo PDF saves an editable project that refers to original files in your Drive. The project records page order, rotation, annotations, form values and document settings. It does not rewrite the original PDF each time you make an edit. Export PDF creates a finished portable copy containing your chosen changes.
Keep the source uploads in Drive for as long as you need the editable project. Images inserted into a PDF also refer to Drive uploads. If you delete or lose access to a referenced source, the project cannot reliably display or export that content. A finished exported PDF is a separate file you can keep or share independently.
- Open PDF from the Suite workspace and create or open a PDF project.
- Choose Open a PDF, Import / merge or From Drive. Start with a blank page is also available.
- Review the page thumbnails and select the page to work on.
- Make your changes and check Suite's save status.
- Choose Export PDF to download the result or save a finished PDF to Drive.
Import and combine documents
Import / merge accepts PDF files from your computer and appends their pages. From Drive lets you choose an existing PDF upload without uploading it again. You can also drop PDF files into the PDF canvas area. Each imported source is saved in Drive; the project then refers to its pages.
Keep each source PDF within 20 MB. A project can contain up to 20 source files and 100 pages in total. Multiple files are checked before they are appended. A document that cannot be inspected or rendered must be corrected or exported again from its original application before importing.
- Use meaningful source filenames so you can recognise them in the project properties.
- Importing a second document adds pages; it does not replace the first document.
- Start with a blank page creates an A4 page as a saved source.
- A source PDF's page count must remain consistent with the project. Re-import a changed source rather than trying to reuse an incompatible reference.
Organise, rotate and extract pages
Pages shows thumbnails down the side. Select a thumbnail to change the working page. Drag a page thumbnail to another position to reorder the document. Page settings also include move, duplicate, rotate and delete actions. Rotation turns the whole page composition, including its annotations.
To extract a smaller document, tick the page checkboxes and choose Extract. The export dialog uses the selected page numbers. You can also type a page selection manually, for example 1, 3-5. Page numbers refer to the current project order, rather than the printed numbering in the original document.
- Use the previous and next controls in the status bar to review every page.
- Fit page adjusts the zoom to the available workspace; the plus and minus controls change your viewing size.
- Deleting a page from the project does not delete its original source upload.
- Extracting pages creates an output copy and leaves the editable project available.
Add text, shapes, highlights and images
The toolbar provides Select, Add text, Highlight, Draw ink, Rectangle, Ellipse, Line and image insertion. Choose a drawing tool, then draw on the page. Select returns to object selection. Selecting an annotation opens its properties, where you can adjust the available text, colour, opacity, stroke or size settings.
Drag a selected annotation to move it and use its resize handle to adjust its bounds. Delete removes a selected annotation. Undo and redo apply to changes in the PDF project. Added text is a separate annotation over the page; it does not directly rewrite an existing paragraph in the source PDF.
- Inserted images must be PNG or JPEG and no larger than 2 MB.
- Text annotations support sans, serif and monospace styles, with size and colour controls.
- Rectangles and ellipses can have a fill; highlights use transparency so the source remains visible.
- A project supports up to 1,000 annotations, with no more than 150 on one page.
- For lengthy handwritten markup, use several manageable strokes rather than one very long stroke.
Fill existing PDF form fields
The form section in Properties lists supported fields from the current source PDF. Enter values there and review their appearance on the page. Supported field values include text, checkboxes and choices exposed by the PDF. Existing form fields are different from the visible text annotations you place yourself.
Flatten form fields into a static copy turns supported interactive fields into fixed output. Use it when a recipient should receive the completed appearance rather than continue filling the form. Merging, reordering or extracting pages from a PDF with form fields requires this static-copy option before export. Review every filled page after export, especially where a long answer may exceed its field area. Huqo PDF supports up to 500 form fields in a project.
Find text and add finishing details
Find searches the text available in your source pages and shows matching page snippets. Select a result to jump to its page. A scanned page can look like readable text to you while containing only an image to the software. Such a page will not become searchable simply by importing it; this editor does not provide an OCR conversion workflow.
Document properties includes watermark and page-number settings. Set the watermark wording, colour, size and opacity, then check that it does not obscure essential information. Enable page numbers, choose bottom right or bottom centre, and set the starting number. These settings become part of the exported composition.
- Check source names in Properties when tracking down a missing page or file.
- Keep watermarks subtle enough to preserve readability.
- If a project combines several PDFs, review numbering after the final page order is settled.
Choose the right PDF output
Editable text and vector content retains the source document content where supported and adds your annotations. Text may remain selectable and shapes remain crisp at different zoom levels. Flatten as images renders the final visible page appearance into image-only pages. It removes the original underlying text, interactive form values and actions from that output, but can increase file size and reduce searchable or selectable content.
A coloured rectangle placed over sensitive text is only a cover in the editable output. The underlying text can remain recoverable. When the covered source content must be removed from the exported copy, use Flatten as images and inspect the result. Keep the original source and editable project private because they still retain the original material.
- Choose Export PDF.
- Confirm the page numbers or ranges to include.
- Choose Editable text and vector content or Flatten as images (removes underlying text).
- Choose whether to flatten form fields into a static copy.
- Use Download PDF for your computer, or Save PDF to Drive for a separate finished file in your workspace.
- Open the exported PDF and review all pages before sharing it.
Troubleshoot previews, saves and exports
A blank or failed page preview can indicate an unreadable source, a missing Drive upload or a document outside the supported limits. Check the error message, confirm the source still exists and try a fresh PDF exported by the original application. A large page image may need to be reduced before the browser can display it safely.
A shared PDF workspace shows its title only. To let someone view or download the finished document, export the PDF, upload it to Drive and share that uploaded file. If Suite reports a saving error, keep the tab open and retry saving before leaving.
If an exported PDF looks different, compare the selected output mode, form-flattening option and page range. For missing characters, check the source font and try a simpler supported font for annotations. Retain both an exported copy and the editable project when future revisions are likely.
Review spelling, grammar and tone
Use Writing tools for on-demand spelling, grammar, clarity and tone suggestions. Review the named source and displayed AI token cost before checking. Suggestions only change your writing when you apply them. The Writing assistant guide explains supported fields, language choices, privacy and undo.
