Saving, backups and storage

Understand save messages, version history, separate storage allowances and the safest way to preserve your work.

On this page

Know which copy has been saved

Docs, Sheets, Slides, Forms, Tasks and PDF projects send changes to the Suite saving flow. The header moves through Unsaved changes and Saving before confirming Saved to your Huqo account. Save can also be requested from the header or with Ctrl+S, or Command+S on a Mac. Let a save finish before closing or reopening the file.

A local test build instead says Saved on this device. That means browser storage on that device and browser profile, not your live Huqo account. Clearing site data, using another profile or moving to another computer does not carry those local files with you. Do not confuse a localhost preview with the online service.

Sign uses Save draft for requests you are preparing. Studio maintains its own creative project saving. Check the app's confirmation rather than assuming that a workspace navigation action saved every kind of work.

Recover safely from a failed save or conflict

If you see Changes not saved or Retry save, keep the editing tab open. Export the open work, restore your internet connection and try saving again. A session-expired message means you should preserve the work before signing in again. Avoid refreshing the tab as your first troubleshooting step.

A file changed in another tab message is a version conflict, sometimes shown as a 409 response. Suite blocks the older tab from silently overwriting a newer saved copy. Export the current tab's work first, reopen the latest saved version and compare the two. Bring over the changes you still need instead of repeatedly trying to overwrite the newer file.

Use one editing tab per file wherever practical. Viewing different files in separate tabs is useful; writing to the same file from several tabs or people needs coordination. Sharing access does not provide live simultaneous editing.

Use Version history for earlier saved content

For an owned editable Suite file, open Version history from the file actions. The current file is saved before the earlier saved versions are listed. Choose Restore beside the version you need; the restored content becomes a new current save, while the former current version is kept in history.

The workspace retains up to 20 earlier versions per file as changes roll forward. This differs from an editor's Undo button, which is intended for recent changes in the current editing session. History is useful recovery, but it is not an unlimited archive or a substitute for independent backups. The file owner manages history for shared files.

Choose the correct backup or export

Suite's Export backup produces a .huqo.json file for editable Docs, Sheets, Slides, Forms, Tasks and PDF projects. Use Create new > Import Huqo backup to bring that format back as a Suite document. Imported form backups start unpublished so importing does not accidentally expose a form.

Individual apps also have their own formats, such as .huqodoc, workbook data or .huqoslides. Use the matching app's import for those formats. An ordinary Word, Excel, PowerPoint or PDF export is a different handover format and may not preserve every Huqo editing detail.

A general document backup contains that document's content. It is not a full account archive: it does not bundle every Drive upload, form response, sharing permission, signing record or source file referenced by a PDF project. Export form responses separately and keep required source uploads. For Studio, keep its creative JSON or video backup as appropriate.

Understand the two storage allowances

Your Suite plan has two separate 200 MB allowances. They are not one interchangeable 400 MB pool. Check the plan page for both totals and the workspace sidebar for workspace usage.

  • Creative storage: 200 MB for Studio designs, video media and the brand kit. Archived creative projects and pending media uploads still count.
  • Workspace storage: 200 MB for Suite documents, Drive uploads, saved document versions, form responses and signing envelope storage. Trashed workspace items still count.
  • Studio supports up to 50 creative projects, including archived projects. Its own project and media limits also apply.
  • The workspace supports up to 1,000 items, including folders and trashed items.
  • Editable Suite documents must stay below 5 MB. Individual Drive uploads may be up to 20 MB, with up to 20 files selected per batch.

Make room without deleting something you need

Moving a workspace file to Trash makes it recoverable but does not release its storage. Open Trash to Restore it or permanently delete it after reviewing the confirmation. Permanent deletion removes the file, its version history and any collected form responses and cannot be undone. Download what you need first.

Folders must have their contents moved or removed before they can be removed. A source upload still used by a PDF project cannot be permanently deleted until that reference is removed or the PDF project is permanently deleted. This prevents a tidy-up from quietly breaking another project.

If storage is full, export important work before reducing it. Large embedded images, uploaded PDFs, video media and saved versions can consume space quickly. Compress images before adding them and retain only the copies you need. Archiving a Studio project changes its organisation, not its storage cost.

Plan changes and ongoing access

Cancelling Suite stops renewal and access continues through the paid period. When it ends, Suite editing and online workspace access pause. The plan page keeps saved creative JSON and video backups available to download, but export important Suite documents before access ends. Cancelling Suite does not cancel Reviews or website plans.

Published form links are not automatically deleted when a subscription ends; they follow their publication, scheduling, response and storage settings. Pause or unpublish a form deliberately when you no longer want it collecting answers. Check sharing and signing activity separately rather than treating cancellation as a universal revoke button.
