Set up a useful project
A Tasks file is a project containing a collection of tasks. Start with one file for a clear area of work, such as your website launch, weekly administration or an upcoming event. Give it a name that makes sense in Drive and recent work.
Open Tasks from Suite, create a project and add the first task using the quick-entry field. A new task opens its details so you can give it a specific title and useful context. A good title describes an action, such as Approve the homepage copy, rather than a broad topic such as Website.
- Create a Tasks file and name the project.
- Add the next few actions rather than every possible future task.
- Open each task to set its status, priority and due date.
- Add checklist items for actions that belong together.
- Choose Board, List or Calendar depending on the decision you need to make.
Choose the right view
Board groups work by its current status. Move a card between columns by dragging it, or change Status inside Task details. Dragging is useful on a desktop; the details control provides a precise alternative on a touch screen or keyboard.
List puts tasks into compact rows so you can scan and update a larger project. Calendar places dated tasks in their month and keeps undated work available below. Navigate between months to see a later deadline. The mobile calendar uses an agenda-style list so dates and task names remain readable.
Changing a view changes how you see the same project. It does not duplicate tasks. If a task seems absent in Calendar, check whether it has a due date and whether the selected month includes that date.
Make tasks clear and actionable
Select a task to open Task details. Edit the title, description, status, priority and due date in one place. High, Medium and Low priority help separate urgent work from tasks that can wait. A date is useful for a genuine deadline; leave it empty when the timing is still undecided.
Use labels to group related work across columns, such as Customer, Website or Finance. You can add up to eight labels to a task. Consistent short labels make the label filter more useful than creating a different label for every card.
Checklist items describe smaller steps within the task. Tick them as you work and watch the completed-item count. Completing a checklist does not replace choosing the correct status for the parent task. Each task can contain up to 100 checklist items.
- Task titles and checklist titles can contain up to 300 characters.
- Descriptions support up to 20,000 characters.
- Duplicate task creates a new card with independent checklist-item identities.
- Remove task offers a restore action for the most recently removed task.
Find the work that needs attention
The overview shows useful project counts, including tasks due today and overdue work. Select a summary count to focus the corresponding set. Use the search field to narrow the project and the filter controls to combine status, priority or label choices.
Sort by due date or priority when deciding what to do next. Manual order is useful when the board arrangement already reflects your working process. Hide completed work to reduce clutter; show it again when reviewing what has been finished.
A filter is a view of your work, not a deletion. If the project says no tasks match, clear the search or reset filters before creating a replacement card. Hiding completed work also clears selections that no longer make sense in the visible view.
Update several tasks together
Select several visible tasks to apply a shared change. The bulk controls let you update status, priority and due date together, or clear their due dates. Review the selection count before applying an action so you do not change unrelated work.
Use bulk changes for a real project decision, such as moving a group of approved items forward or assigning the same campaign deadline. Open an individual card afterwards if its description or checklist needs a more specific update.
Start from a checklist template
Templates give you a prepared checklist for a common workflow. Open Templates from the project controls, browse or search the collection, select one and review its preview before applying it.
Applying a task template adds its tasks to the project and keeps your existing tasks. It is a starting point rather than an instruction to retain every item. Rename cards, remove irrelevant steps and add realistic due dates so the checklist reflects your business.
Templates do not create an external calendar subscription, automatic reminders or recurring jobs. Tasks is a project-planning space; use its actual dates, statuses and views to review progress.
Save, back up and share a project
Board options includes Export CSV. The export follows the currently filtered task list and includes title, description, status, priority, due date, checklist completion and labels. Clear filters first if you want all tasks represented. CSV is a useful report, while Export backup preserves the editable Suite document structure.
Use the Suite file controls for Export backup, version history or Share file. A member with Editor access can update a shared Tasks document; a viewer can only review it. Work in turns when several people need to edit because simultaneous changes are not merged into a live collaborative session.
A Tasks file supports up to 2,000 tasks and the common Suite document-size limit. Large descriptions and checklists also use workspace storage and version-history space. Split unrelated projects into separate files to keep planning focused.
Common questions
A completed task disappeared: show completed work and clear status, priority and label filters. A card with no date stays in the undated area rather than appearing on a calendar day.
The wrong task was removed: use the available restore action for the last removed task. For a larger accidental change, review version history before replacing your current project. Export a backup first if you need to preserve both versions.
A save conflict appears: another tab or permitted editor changed the project after you opened it. Export your current draft, reopen the newest version and reapply the changes you still need. Do not keep repeatedly saving an older revision.
