Create a workbook and enter data

Open Sheets from Suite and create a workbook, or open one of your existing spreadsheet files. A workbook contains one or more sheets, shown as tabs at the bottom. Start with clear column headings in the first row, then add one record per row. This makes sorting and filtering more useful.

Click a cell to select it. Type to replace its contents, double-click or press Enter or F2 to edit, and use the formula bar to review or change the full value. Enter moves down and Tab moves right; hold Shift to move in the opposite direction. Escape cancels an edit before it is committed.

  1. Name the workbook using the Suite header.
  2. Enter headings such as Item, Quantity, Unit price and Total in row 1.
  3. Add your data below the headings, using numbers for quantities and prices.
  4. Enter a formula beginning with = for calculated results.
  5. Wait for Saved to your Huqo account before closing the tab.

Select, navigate and fill cells

Drag across cells to select a range, or hold Shift while using arrow keys to extend the selection. The footer summarises populated cells, their sum and their average. The address box accepts a single location such as B12 or a range such as A1:D10. Press Ctrl+G to focus that box, type the address and confirm it.

Copy and paste cells using the usual keyboard commands. A table copied from another app can be pasted as rows and columns. For repeating values or formulas, select the source and destination range, then use Fill down or Fill right from the formatting tools. Relative formula references move with the filled cells, while dollar signs keep a reference fixed.

  • Arrow keys move between cells. Home moves to the beginning of the current row.
  • Ctrl+Home goes to the first cell; Ctrl+End goes to the used area's last row and column.
  • Page Up and Page Down move by 20 rows.
  • Delete or Backspace clears selected cell values.
  • Ctrl+D fills down and Ctrl+R fills right when you are not editing a cell.
  • Ctrl+Z undoes a spreadsheet change; Ctrl+Y or Ctrl+Shift+Z redoes it.

Calculate with formulas

Formulas begin with =. Use cell references to avoid repeating numbers manually: =B2*C2 multiplies quantity by unit price, and =SUM(D2:D10) totals a range. The Σ Sum tool builds a total for the consecutive populated cells above the current cell. If there is no usable range above it, it starts a SUM formula for you to finish.

Open Formula guide for searchable supported functions with syntax and examples. In addition to arithmetic, totals, logic and text functions, Sheets supports conditional calculations such as SUMIF, COUNTIF, AVERAGEIF, SUMIFS and COUNTIFS, lookups, date helpers and rounding tools. Formulas can reference another sheet, for example =SUM('Sales 2026'!B2:B10). Use quoted sheet names when they contain spaces. Renaming a sheet updates references inside the workbook.

  • =IF(B2>0,"Ready","Check") returns different text based on a condition.
  • =ROUND(C2*D2,2) rounds a calculated amount to two decimal places.
  • =IFERROR(A2/B2,0) supplies a fallback when a calculation fails.
  • Use $A$1 for a fixed reference when copying or filling formulas.
  • An error notice includes an Edit formula action so you can correct the source formula.

Make a clear, readable spreadsheet

Select a cell or range before changing font, font size, bold, italic, text colour, fill colour or alignment. Number formatting offers Automatic, Number, Currency and Percentage. Choose a currency code when using Currency. Formatting changes the displayed result rather than the underlying value, so a percentage is still calculated from its stored number. Date format, decimal-place controls and Wrap text are also available. Set a taller row in Layout for longer wrapped notes.

Additional formatting tools include Copy format, Paste format, Clear formatting and borders. Choose All, Outer, Bottom or None for the selected range. This is useful for a strong header row, clear totals and restrained section separators. Zoom changes the viewing scale between 75% and 125%.

  • Use a consistent currency format for monetary columns.
  • Keep headings distinct with bold text and a light fill.
  • Use border presets instead of filling every cell with a different colour.
  • Ctrl+B and Ctrl+I change bold and italic for selected cells.

Sort, filter and inspect charts

Open Data tools to sort or filter. Select the column to sort by, then choose ascending or descending order. Sorting moves the populated data below the first row and treats that first row as headings. It is not restricted to the highlighted cells, so keep one table per sheet when using this tool.

Filter rows searches the sheet, while a column filter narrows the search to one field. Clear filters to restore the full view. Freeze row 1 keeps the header visible; Layout can keep up to three leading columns visible. Filtering changes the view rather than deleting records.

Choose Chart to open a live preview, then choose Bar chart or Line chart. The preview uses the first column for labels and displays up to 30 data points. Add numeric data if the panel says there is nothing to chart. The panel is an analysis preview, not a promise that chart objects will travel into an exported Excel workbook.

Manage sheets and use business templates

Use the plus button beside the sheet tabs to add a sheet. Sheet options contains Rename sheet, Duplicate, Remove sheet, row controls and column controls. Double-click a sheet tab to rename it. Names must be unique; at least one sheet must remain in the workbook. Reducing the row or column count removes cells outside the remaining area, so make a backup first.

Browse templates to find a useful starting structure. Applying a template adds its sheets with sample data and working formulas, preserving your existing sheets. Replace the example inputs with real figures and check the formulas before using the totals for decisions.

  • A workbook supports up to 20 sheets.
  • Each sheet supports up to 500 rows and 50 columns.
  • Add rows in groups of 10 or columns one at a time through Sheet options.
  • Keep each saved Suite workbook below 5 MB, including its cell values and formatting.

Move data in and out of Sheets

File contains Import Excel and CSV import. Excel imports accept .xlsx files below 10 MB; CSV imports accept files up to 1 MB. Imported sheets are added to the current workbook, and existing sheets are kept. If the resulting workbook would exceed 20 sheets, the import stops without changing the existing sheets.

Export Excel creates an .xlsx workbook containing formulas and cell formatting. File > Export CSV exports the current sheet's used area as values, so use Excel or a Huqo backup when you need multiple sheets, formatting or formulas. File > Back up workbook downloads its editable workbook data. Suite's Export backup provides the general Suite backup format for use with Import Huqo backup. Supported dropdown/number/checkbox rules, conditional highlights, frozen columns and custom dimensions also travel in Excel files. Read any import or export warnings: CSV cannot retain these features, and advanced Excel constructs are not all supported.

Dropdowns, checkboxes and conditional formatting

Select a range, open Data tools > Data rules and choose Dropdown list, Number limits or Checkbox. Enter options or limits, choose whether empty entries are allowed, then Apply validation. Dropdowns are available on the selected cell; checkbox cells can be toggled directly. Invalid new entries are rejected. Existing imported values remain visible and are flagged when selected for review.

In the same workspace, apply a conditional highlight using numeric comparisons, matching text, a range of values or blank-cell checks. Choose the text and background colours. The first matching highlight rule takes priority. Manage and remove existing rules from the rule list.

Rules are saved with the workbook and participate in Undo and Redo. Supported rules travel through Excel exchange. Unsupported custom formulas, external references and unsupported rule types are reported rather than silently executed.

Find, clean and lay out your data

Find & replace searches all columns or one column, with case and entire-cell matching. Move between matches before replacing. Text replacement keeps formulas intact and can be undone as one operation.

Data cleanup tools trim selected text and remove duplicate records from a selected range. Check the selected range before applying a cleanup; Undo restores the complete change.

Layout sets selected column widths and row heights, fits columns to content, resets dimensions and freezes leading columns. Dimensions, frozen columns, date formatting and decimal precision are preserved in supported Excel files.

Common questions

Why did rows disappear? Check whether Filter rows contains a search. Clear filter restores the full view.

Why is my total not changing? Check that inputs are numbers, the formula begins with = and the function is supported. Select the error cell and use Edit formula for more detail.

Why did an import fail? Check its file size, sheet count and dimensions. The saved document must also remain below 5 MB even when the source .xlsx file is smaller than its 10 MB import limit.

Why does the exported CSV look simpler? CSV represents a single grid of values. It does not preserve styles, tabs or chart previews.

What if saving fails? Keep the tab open, export a backup and use Retry save after restoring your connection. Avoid refreshing an unsaved workbook.
